The Tools You Started With Stop Keeping Up
The Challenges We Hear Most Often
Organizations often start managing their Healthcare Professional (HCP) engagements with the tools they have: a form here, a spreadsheet there, approvals over email. This holds up at first, but as the program grows it gets harder to see where an engagement stands or pull a full history together for reporting.
Engagement Work Lives in Too Many Places
Planning notes, participant CVs, rate rationale, approvals and close-out evidence each live in a different place. The full picture of any one engagement is scattered across systems.
Approvals Are Hard to Route and Track
The right people have to review and authorize each engagement and rate, often across business units, brands and regions. Tracking where any approval stands takes manual follow-up.
Participant Checks Are Manual and Inconsistent
Sanctions, license and exclusion checks are often run by hand. The result and its source are not captured the same way for every participant.
Engagement Data Has to Be Reworked
Engagement and payment details often sit outside the reporting systems. Commercial, finance and compliance end up re-keying and reconciling the same data later.
Outdated Systems Slow Teams Down
Older engagement tools can mean dated interfaces, missing capabilities, multiple logins and a lot of manual management. Teams end up working around the system, and routine tasks take far longer than they should.
Fair Market Value Rationale Is Hard to Show
Tier decisions, rate card lookups and exceptions are worked out in spreadsheets and email. When a rate is questioned later, the reasoning behind it has to be rebuilt from scratch.
How MedPro Addresses This
An HCP Engagement Platform That Captures the Right Inputs at Every Step

Plan and Create Engagements in One Place
Set up annual plans and individual engagements from configurable templates, with engagement types, fields and requirements that reflect how your organization works. Each engagement follows a defined path from Draft, Proposed, Approved, In Progress to Completed.
Route Approvals to the Right Reviewers
Configure sequential, parallel or hybrid approval paths across business units, engagement types and regions, so every HCP engagement and rate is reviewed and authorized before work begins, with clear visibility into status and ownership.

Govern Fair Market Value Consistently
Tiering questionnaires, weighted scoring, rate card lookup, reuse windows and exception handling produce a consistent Fair Market Value (FMV) record, capturing the rationale, tier outcome and rate decision together.
Confirm Participant Eligibility Up Front
Track sanctions, license, background and exclusion checks with validity periods and source attribution, so your team can confirm and record participant eligibility as part of the workflow. License and sanctions checks run on primary-source MedProID data.

Carry Engagement Data Through to Reporting
Because EngagePro is built into the MedPro Compliance Reporting ID® (MCR) platform, engagement and participant detail connect to the same environment used for U.S. and global transparency reporting, supporting reporting readiness with less re-keying and reconciliation.
Participant Portal (Add-On)
The Participant Portal provides HCPs a secure, branded workspace to respond to invitations, review details, upload documents and manage their profile, making the process easier for internal teams and participants alike.

Engagement Types
HCP Engagement Management for Every Engagement Type
Advisory boards, speaker programs, consulting arrangements, educational initiatives and other external expert interactions each run on their own template, with the fields, checks and approval path that type requires. Templates, fields and approval paths are configured per type, so a speaker program and an advisory board do not share one generic form. The record each one builds in the HCP engagement platform is the same: business need, eligible participants, a documented rate and the approvals behind it.
Advisory Boards
Record the business need, select and validate the advisors, set each rate through the FMV questionnaire and route the board through its approval path before invitations go out. Meeting summaries and attestations close the record.
Speaker Programs
Before the first slide is presented, the business need is documented, the speaker’s license and sanctions status is confirmed and a defensible rate is set. After the program, the honorarium, meals and travel are already tied to the engagement record that transparency reporting reads.
Consulting Arrangements
Capture the scope, the participant’s eligibility checks and the rate decision together, then route the arrangement to the reviewers your policy names. Deliverables and required documentation are attached at close-out.
Educational Initiatives
Plan the initiative from a template, confirm each participating HCP’s eligibility and keep the approvals, rate rationale and close-out evidence in one place for the next reporting cycle.

What an Engagement Looks Like in EngagePro
EngagePro moves each engagement through clear, defined stages, capturing the right inputs at each one and building a complete documentation history through close-out.
1) Plan
Build annual plans and create engagements from templates, with the engagement types and fields your organization uses. The record opens with the business need and the engagement type, so every later step has its context.
2) Identify
Identify participants and run eligibility checks, with results and sources captured against the engagement record. Sanctions, license, background and exclusion checks carry their validity period, so the engagement cannot advance on an expired check.
3) Set FMV
Complete tiering questionnaires and rate card lookups to produce a consistent, documented rate decision. The tier outcome, the responses behind it and any exception are stored with the rate.
4) Route Approval
Send the engagement through its configured approval path so the right reviewers authorize the engagement and its rate. Sequential, parallel or hybrid routing records who approved what and when before work begins.
5) Execute
Manage the engagement as it runs, capturing meeting summaries, attestations and required documentation in one place. The engagement stays In Progress until each required item is on the record.
6) Close Out
Confirm that required steps are complete and the engagement record is fully documented. Close-out evidence sits with the approvals and the rate decision, so the history does not have to be rebuilt later.
